GENERAL INFORMATION

Registration Fee

The Congress registration fee for official delegates and participants is $350 usd.

To expedite payment and thus guarantee registration for the Congress, kindly fill out the MX 2003 Registration Form (attached here as an electronic Word document) and send it to Mexico before August 20, 2003:

Accompanying persons will enjoy the same prices as the delegates.

As the registration form indicates, the methods of payment are as follows:

-         Pay the entire registration fee ($350 usd) per person by wire transfer or by credit card. This will serve to hold accommodations in a Double Occupancy Room for 7 nights with breakfast at the Hotel Fiesta Americana, site of the Congress.

Alternately, some may wish to:

-         Pay a minimum deposit of $76 usd per person, by wire transfer or by credit card, to hold a reservation at the hotel. Those who decide to send their registration forms with only the deposit should pay $274 usd in cash (the remaining balance of the total registration fee) at the hotel registration table.

Credit card types accepted: Visa, Master Card and American Express.

No checks accepted.

No reservation will be made without the corresponding deposit.

 

Visas

Delegates should determine whether they require a Visa through official Mexican representatives in their own countries, if these are present. If so, then the Visa should be requested there. We recommend requesting a tourist class Visa.

 

Visas for delegates from countries without Mexican government representation

For those delegates residing in countries where there is no Mexican Embassy, consulate or other official government representation to arrange the visa for travel to Mexico, Mexican PEN can assist. To facilitate the procedure, we have established a relationship with the National Institute for Migration (Inm). If this is the case, please follow these three steps:

 

Step 1:

-         Direct a request for help with the visa procedures to the Mexican PEN before August 15th. The President of your PEN Center should endorse this request.

-         Attach a photocopy of your passport to the request. You may send a digital photo.

-         Send said documents by e-mail to Dulce María Méndez, Mexican PEN Treasurer, who will manage the processing of special visas with the Inm: tesorero@penmexico.org.mx (copy presidencia@penmexico.org.mx) or fax:  (+52+55) 56-06-14-17.

 

Step 2:

Once Mexican PEN has received the documentation specified above, we will attach a letter from Mexican PEN to your request. Dulce María Méndez will be responsible for managing the process with Inm. Later, she will send you the official Inm form, which should be filled out and returned to Mexican PEN as soon as possible. Mexican PEN will give this to Inm immediately.

Please note that once the official form is received by Inm, it will take six weeks to process the corresponding visa. 

 

Step 3:

Once the process is finished, Dulce María Méndez will let you know how, when and where your visa will be delivered to you.

 

Accommodations

Mexican PEN offers official delegates accommodations in a Double Occupancy Room for 7 nights with breakfast, from the 22nd to the 28th of November 2003.  Accompanying persons who wish to stay at the hotel should pay $50 usd per night in a double occupancy room or $88 usd per night in a single occupancy room; both rates include breakfast.

     Delegates who wish to stay in a single occupancy room should pay a supplement of an additional $38 usd per night; or, an additional $266 usd for 7 nights.

Other Congress attendees and participants will enjoy the same hotel rates as official delegates, as long as they stay for a minimum of two nights: $50 usd per night in a double occupancy room with breakfast or $88 usd per night in a single occupancy room with breakfast.

Attached is the file for  "MX 2003 Registration Form". We would appreciate it if you could complete it and send it as soon as possible.

Cancellation Policies: 

-     If a cancellation is made prior to August 22, 2003: 100% of the reservation deposit will be returned ($76 usd) or the total fee, if this has been paid in advance)

-         If a cancellation is made between August 23 and November 21, 2003: A Charge of $76 usd applies.

 

Official Languages

The official languages of the 2003 Mexico Congress are Spanish, French and English.  There will be simultaneous translation during the PEN International General Assembly sessions.

 

Information about Mexico

The national currency (m.n.) is the Mexican peso ($). In June 2003, the average exchange rate was $10.30 m.n. per $1 usd.

Use of the accredited airport taxi services is recommended. The rates are fixed.  As of June 2003, the cost to go from the airport to the hotel is $15 usd. The accredited taxi counters are in the baggage claim area.
